Preventive Maintenance System FAQs

Department Users

  1. Click on "Devices" in the navigation menu
  2. View the complete list of all devices assigned to your department
  3. Each device card shows:
    • Current status (Operational/Maintenance/Critical)
    • Next scheduled maintenance date
    • Last maintenance date
  4. Click any device to see detailed maintenance history and specifications

Device is functioning normally

Maintenance

Device is currently being serviced

Condemn

Device needs immediate attention

The system automatically notifies department heads:

  • 7 days before scheduled maintenance via email
  • 24 hours before via system notification
  • When maintenance is completed with service report

Administrators

  1. Go to Admin Dashboard > Maintenance Schedule
  2. Select department and maintenance frequency:
    • Weekly
    • Monthly
    • Quarterly
    • Custom
  3. Assign technician(s) to the schedule
  4. Group devices by:
    • Location
    • Device type
    • Priority level
  5. Set automated reminders
  6. Save to apply to all selected devices

Admins have access to:

  • Real-time Dashboard showing all devices with status indicators
  • Department Overviews with maintenance compliance rates
  • Technician Workload reports
  • Complete Maintenance History for any device
  • Custom Reports by date range, department, or device type
